Round Circle
This policy explains what personal information the Round Circle app collects when you book fitness and yoga classes, why we collect it, who we share it with, and how you can control it. Written in plain language and kept current with what the app actually does — not what a template says it should do.
Round Circle's ClassScheduler app is developed and operated by New Thinking Designs, LLC ("we," "us," "our"). Round Circle is a scheduling platform used by independent fitness and yoga studios ("studios") to manage classes, waitlists, packages, and payments. When you create an account, you're creating it with the studio you sign up through — we operate the technical platform on the studio's behalf.
We collect only what's needed to run class scheduling, packages, and checkout. Specifically:
We do not collect your location, contacts, photos, or camera data — the app never requests those permissions. See Device permissions for the complete list of what the app can access on your device.
We use your information to:
We do not use your information for advertising, and we do not sell your personal information.
All payments are processed by Stripe, a PCI-compliant payment processor. When you enter a card, you're entering it directly into Stripe's own secure form — your card number never passes through our app or our servers. We only ever receive a Stripe-generated reference token, which lets us charge your saved payment method for future bookings, no-show fees, or late-cancellation fees where a studio's policy requires it.
Stripe's own handling of your payment data is governed by Stripe's Privacy Policy.
The app requests exactly one device permission:
| Permission | Used for | Leaves your device? |
|---|---|---|
| Calendar | Adding a booked class — its title, time, and instructor — to your device calendar, only when you tap "Add to Calendar" | No |
Calendar events are written directly to your device and are never transmitted to us or anyone else. The app does not request location, camera, contacts, or photo-library access.
We keep your account and booking information for as long as your account is active, so your studio can maintain accurate scheduling and package-credit records. Payment transaction records are kept as required for accounting and dispute-resolution purposes.
If you cancel a class, the booking record is kept (marked cancelled) rather than erased, so package credits and waitlist history stay accurate — this is a scheduling record, not a marketing one, and it's tied to your account only for as long as your account exists.
When you delete your account, we permanently remove your name, email, phone number, and password — see Your rights & deletion for the full process and timeline, and what stays on file for studio accounting.
You can review and update your name, phone number, and notification preference at any time from the Profile screen in the app.
You can delete your account directly from the app: open Profile → Danger Zone → Delete Account and confirm. Deletion works the same way from the web app. Here's exactly what happens:
What's retained, and why. Studios are required to keep accounting records for classes and payments. So booking history and payment records stay on file after deletion, but they're disconnected from anything that identifies you — no name, email, or phone number remains attached to them. If you're an instructor at a studio, the same applies to your instructor profile: your bio and contact details are erased, but the class schedule you taught stays intact for the studio's records.
If you own a studio, you'll need to transfer ownership or contact us to close the studio before you can delete your personal account — we'll tell you exactly which studio is blocking it if you try. This keeps a studio's schedule and its paying members from disappearing along with an owner's account.
Prefer not to use the in-app option, or can't sign in? Email us at mel@newthinkingdesigns.com from the address associated with your account and we'll process the request manually.
Depending on where you live, you may have additional rights to access, correct, or export your personal information. Contact us using the details in Contact us and we'll do our best to help.
The app is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has created an account, contact us and we'll remove it.
If we make material changes to how we handle your information, we'll update the effective date at the top of this page and, where required, notify you in the app.
